Invoice processing services for AP teams

DTI takes in your invoices, captures the data, checks it against your vendor, purchase order and job information, and delivers consistent invoice records to your AP workflow and ERP. Your team handles the decisions and the exceptions instead of sorting and keying every invoice.

  • Email, portal and paper invoices
  • Checked before they reach AP
  • Delivered to your workflow and ERP

How it works

Four steps between an invoice arriving and an invoice your team can approve.

01

Intake and preparation

Invoices come to an inbox we manage. We separate invoices from everything else, download files from vendor portal links and split PDFs that hold several invoices.

02

Capture

Header and line details are read with AI-assisted capture. When a value is unclear, a person checks it instead of letting a guess move downstream.

03

Validation

Each invoice is checked against your vendor, purchase order and job information. Missing POs, possible duplicates and amounts that don't match are flagged with the reason.

04

Delivery

Invoice records go to your AP workflow, document system and ERP in a consistent format, ready for coding and approval.

Each invoice is checked before it reaches your team

A wrong vendor, a missing PO or a job number that doesn't exist causes more work later than typing the invoice did in the first place. So we set up capture and validation around your vendors, purchase orders and jobs, and each invoice is checked before it reaches your team.

  • Invoice data checked against vendor, PO and job information
  • Exceptions flagged with the reason attached
  • The same output format every time
  • People review what the software isn't sure about

When it makes sense to outsource invoice processing

Volume is growing faster than the team

When invoice volume grows, the first thing to suffer is usually time for exceptions, vendor questions and month end. Moving preparation and capture off the team gives that time back.

Your capture tool needs constant correction

If the team spends its day fixing fields a tool misread, the automation isn't saving much. Checking against your own data is what cuts the corrections.

One person knows how everything works

Invoice processing keeps invoices moving when the team is short, and writes the steps down instead of leaving them in one person's head.

Invoices ready before AP touches them

One customer's AP inbox was full of messages that weren't invoices, links to vendor portals, and PDFs with several invoices combined. DTI manages that inbox: separating invoices from everything else, downloading files from vendor portals and splitting combined PDFs, so their automation receives clean invoices and the AP team spends its time on accounting.

"DTI takes the time-consuming work of sorting our AP inbox and preparing invoices off our team's plate. We can focus on accounting instead of chasing portal links and splitting PDFs. Having a partner we can count on makes a real difference."

Questions about invoice processing services

What are invoice processing services?

Invoice processing services take on the work of receiving invoices, capturing their data and checking it before it reaches your AP team. Instead of doing that work in house, a provider handles it as an ongoing service and delivers invoices that are ready for coding and approval.

Is this the same as OCR?

No. OCR reads the text on a page. Invoice processing also sorts what arrives, checks the data against your vendor, purchase order and job information, flags exceptions and delivers the result in a consistent format. Reading the invoice is one step of several.

Do we give up control of approvals?

No. Invoice processing prepares invoices. Your team still codes, approves and decides what gets paid.

What happens when an invoice doesn't match?

It's flagged with the reason, such as a missing PO, a possible duplicate or an amount that doesn't match, and routed to the person who can resolve it.

Can we use invoice processing with the AP software we already have?

Yes. We can prepare invoices for the AP workflow you already use, or combine invoice processing with DTI's AP workflow and vendor payments.

Which ERP systems do you deliver to?

We integrate with a range of ERP systems, including Penta, JD Edwards and SedonaOffice. The first step is confirming what your ERP and AP workflow can receive.
